I want to thank you for entrusting your association management to Lighthouse. We feel a tremendous responsibility to consistently offer exceptional service to your community. Our staff team works very hard to meet that standard. As a result, we were all deeply disappointed with the difficulties associated with the recent banking transition to Enterprise Bank and Trust. It was our hope and firm belief that the transition would be seamless and simple for all of your owners. Unfortunately, the payment portal provider (ClickPay) selected by Enterprise Bank encountered a myriad of technical and personnel issues that often led to a frustrating and confusing user experience for your owners. What should have been a simple process for owners to setup and make timely ACH payments for their assessments, often became an exercise in futility. I apologize for falling short of our standard of excellence in this area.
Our local leadership team and national executive team have spent hundreds of hours in the past month working with the leadership of Enterprise Bank and ClickPay to analyze all of the factors contributing to the service failures. We believe the problems have been identified and solutions enacted by ClickPay to prevent service disruption in the future. I have attached a letter from ClickPay, which will be emailed to owners who utilized the portal to make their January payment.
Apologies and explanations and promises to do better are all fine, but I am cognizant of the fact you compensate us to provide a service to your community. As I stated previously, we fell short of our service level commitment to you. I would like to extend a management fee credit of 10% toward your March management fee. You will see the fee reduction on your March invoice. We value our relationship with you. We care about your community. We want to give you our best effort at all times.
